Ten problems, and what resolves each one
What it fixes
Every resolution below is a feature that exists, with the control that keeps it honest. Where something cannot be automated, it says so.
-
Records arrive late, and chasing them is a job in itself
The autopilot drafts email, text and call scripts on a cadence tied to each deadline, and a person approves before anything is sent.
Control Nothing leaves the practice unapproved; live sending stays off until you switch it on.
-
Seven hundred clients keep their records in seven hundred different spreadsheets
The importer reads any layout, keeps the sheet and cell behind every figure, and remembers each label you map.
Control An unrecognised amount blocks approval until a person maps it or marks it as not a tax figure.
-
Figures that do not tie, found late
Tested rules do every calculation, then check the workbook's own totals, the trial balance, the balance sheet and the booked tax charge.
Control No filed figure comes from a language model; AI only reads documents and suggests coding.
-
Review is the bottleneck when one person carries the practice
Work arrives prepared with the blocking points listed first, so review is a decision rather than a rebuild.
Control Only a reviewer or the owner can approve, and never while something is blocking.
-
A client signs, then the figures change
Approval and signature bind to a fingerprint of the exact figures.
Control Any later change voids both automatically and sends the job back for review.
-
Deadlines discovered in the wrong order
Accounts, corporation tax, VAT, Self Assessment, MTD, payroll, pensions, identity verification and AML dates are computed for every client from the statutory rules.
Control Overdue work is listed on the front screen, not buried in a report.
-
Bookkeeping drudgery eats the fee
Coding runs in order: rules learned from your own corrections, then a sector pack for shops, restaurants, hotels, consultancies and drivers, then AI.
Control Every line shows how it was coded, and AI suggestions are counted for spot checks.
-
Identity verification and AML creep up on you
Officer verification status and the annual client review are tracked per client and raised before the confirmation statement.
Control A confirmation statement is blocked while an officer is unverified.
-
Pension declarations have no API
UpBasis assesses every worker, builds the contribution file and prepares the declaration pack.
Control The submission is marked as a human step rather than pretended to be automatic.
-
Professional risk: proving what was done, and when
Every preparation, approval, signature and filing is written to a hash-chained audit trail.
Control Editing or deleting an event breaks the chain, and the platform reports exactly where.
Honest about the limits
Live submission to HMRC and Companies House needs the practice's own credentials and recognition, so until then UpBasis exports a filing pack for your current software. The Pensions Regulator has no API, so a person submits that declaration. Scottish rates, capital gains and foreign income stop the computation rather than guess.
